Pollenair Technologies Inc. ("Pollenair," "we," "our," or "us") operates the Pollenair platform — a practice-first, decision-based learning product available on the web, iOS, and Android. This Privacy Policy explains what information we collect, how we use it, and the choices you have.

By using Pollenair or joining our waitlist, you agree to the practices described in this policy. If you do not agree, please do not use our services.


1. Information We Collect

Information you provide directly

  • Waitlist registration: When you join the waitlist, we collect your email address.
  • Account creation: When you create an account, we collect your name, email address, and password (stored as a secure hash).
  • Profile and preferences: Skill paths you choose (e.g. sales, marketing, engineering), your stated experience level, and any personalisation preferences you configure.
  • Written responses: When you complete practice blocks that involve free-text input — such as justification exercises or written reflections — we collect the text you write.
  • Communications: If you contact us for support or feedback, we collect the content of that communication.

Learning and activity data

  • Challenge responses: The options you select in decision challenges, the order you place items in sequencing exercises, and the answers you give in quizzes and fill-in-the-blank blocks.
  • Progress and performance: XP earned, streaks, node completion status, accuracy by skill area, and time spent per challenge.
  • Session history: Which skill paths and nodes you have accessed, and in what order.

Automatically collected data

  • Device and browser information: Browser type, operating system, device model, screen resolution, and language settings.
  • Log data: IP address, pages visited, referring URLs, and timestamps of requests to our servers.
  • Cookies and similar technologies: We use cookies and local storage to keep you logged in, remember preferences, and understand how users navigate the platform. See Section 9 for details.

2. How We Use Your Information

  • Deliver and operate the platform: Authenticate your account, serve the correct content, track your progress, and calculate your XP and streaks.
  • Personalise your experience: Recommend skill paths, adjust difficulty, and surface review content based on where you have struggled.
  • Improve the product: Analyse aggregate usage patterns to identify confusing content, improve block design, and prioritise new skill paths.
  • Communicate with you: Send product announcements, waitlist updates, and account notifications. You can opt out of marketing emails at any time.
  • Safety and compliance: Detect abuse, enforce our Terms of Use, and comply with applicable laws.

We do not sell your personal information to third parties — ever.


3. AI and Your Content

Some blocks on Pollenair — specifically justification exercises and written reflection prompts — use AI-assisted evaluation to assess the quality and reasoning of your free-text responses. When you submit a written answer in one of these blocks, that text is sent to an AI model to generate feedback.

How we handle AI evaluation:

  • Your written responses are processed solely to generate in-context feedback for that block. They are not used to train AI models without your explicit consent.
  • We work only with AI providers that offer data processing agreements meeting applicable data protection standards.
  • Responses are not retained by the AI provider beyond the time needed to return the evaluation result.
  • AI evaluation is never used to make automated decisions about your employment, creditworthiness, or legal status.

If you do not wish your written responses to be processed by an AI model, do not submit free-text content in blocks that indicate AI evaluation. Multiple-choice, fill-in-the-blank, and selection-based blocks do not involve AI evaluation and are not affected.


4. How We Share Your Information

We share data only in the following circumstances:

  • Service providers: We use trusted third-party providers for infrastructure, hosting, email delivery, analytics, and payment processing. These providers access your data only to perform services on our behalf and are bound by contractual obligations to protect it.
  • AI evaluation providers: As described in Section 3, free-text responses are sent to an AI evaluation service. No account identifiers are sent alongside the content — only the response text and block context.
  • Legal requirements: We may disclose information if required by law, court order, or governmental authority, or when we believe disclosure is necessary to protect the rights, property, or safety of Pollenair, our users, or the public.
  • Business transfers: If Pollenair is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you before your data becomes subject to a materially different privacy policy.
  • Aggregate and de-identified data: We may share anonymised, aggregated statistics (e.g. "80% of learners answer this block incorrectly on the first attempt") that cannot reasonably be used to identify you.

5. Data Retention

We retain your data for as long as your account is active or as needed to provide the service. Specifically:

  • Waitlist emails: Retained until you request removal or we launch and you decline to create an account.
  • Account data: Retained for the life of your account. If you delete your account, we delete or anonymise your personal data within 30 days, except where retention is required by law.
  • Learning and progress data: Retained for the life of your account. Anonymised aggregate forms may be retained indefinitely for product improvement.
  • Log data: Typically retained for 90 days.

6. Security

We use industry-standard security measures to protect your data, including encryption in transit (TLS), encryption at rest, access controls, and regular security reviews. Passwords are never stored in plain text.

No system is completely secure. If you believe your account has been compromised, contact us immediately at security@pollenair.com.


7. Your Rights and Choices

Depending on your jurisdiction, you may have the following rights:

  • Access: Request a copy of the personal data we hold about you.
  • Correction: Request that we correct inaccurate or incomplete data.
  • Deletion: Request deletion of your personal data. Some data may be retained for legal compliance or legitimate business purposes.
  • Portability: Request your learning data in a machine-readable format.
  • Opt out of marketing emails: Use the unsubscribe link in any email we send, or contact us directly.
  • Withdraw consent: Where we rely on consent to process your data, you may withdraw it at any time without affecting prior processing.

8. Cookies and Tracking Technologies

We use the following types of cookies and local storage:

  • Essential: Required for login sessions and basic platform functionality. Cannot be disabled without breaking the service.
  • Preference: Store your settings, such as theme and notification preferences.
  • Analytics: Help us understand how the platform is used in aggregate, so we can improve it. We use privacy-respecting analytics tools that do not build individual advertising profiles.

You can control cookies through your browser settings. Disabling essential cookies will prevent you from logging in. We do not use third-party advertising cookies or cross-site tracking pixels.


9. Children's Privacy

Pollenair is intended for users aged 16 and older. We do not knowingly collect personal information from children under 16. If we become aware that we have collected data from a child under 16 without verifiable parental consent, we will delete it promptly. If you believe a child has provided us with their information, please contact us at privacy@pollenair.com.


10. International Data Transfers

Pollenair Technologies Inc. is incorporated and operates primarily in North America. If you access Pollenair from outside this region, your data may be transferred to and processed in countries with different data protection laws than your own.

Where required, we rely on appropriate transfer mechanisms — such as Standard Contractual Clauses — to ensure your data receives an adequate level of protection regardless of where it is processed.


11. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the effective date at the top of this page. If the changes are material, we will notify you by email or by placing a prominent notice on the platform before the changes take effect. Your continued use of Pollenair after notification constitutes acceptance of the updated policy.
